Job Title: Operations Manager
Supervisor: COO
Location: Troy, MI – Monday, Tuesday, and Wednesday in the office. Other days are mainly at home with potential time in the office, at schools, or at events when needed.
Hours: Full-time
Join the Winning Futures team and help us prepare teens for success! This position is responsible for overseeing and executing the internal operations for the organization including developing and updating processes, hiring/onboarding, basic technology support, CRM administration and audits, and managing a team of three people.
We are a nationally recognized leader in empowering students, ages 14 to 23, to overcome obstacles and achieve their career goals. Our seven-year Workforce Prep Mentoring Program begins in 10th grade and continues through four years of college or trade school. Students are paired with volunteer Career Mentors from the business community who provide encouragement and real-world advice. Together they meet regularly during organized, staff-led, one-hour sessions focused on career exploration, skill development, and academic and career planning. Responsibilities:
Creating systems, handbooks, and quality checks
- Look for innovative solutions and efficiency opportunities
- Create new or update systems and “How to” type handbooks
- Determine processes that need internal auditing or cross-checks, build, and implement
- Maintain inventory of all process documents
Human Resources
- Manage and support the Operations Coordinator, Data Entry Specialist, and Data Coordinator
- Hiring Process: Create job description, update Hiring Handbook, post job opportunities, review resumes, conduct phone interviews, schedule interviews, and call references. Normally hire 2-3 people per year.
- Onboarding: Update employee handbook and onboarding/orientation templates, customize for new hire, and create their 30-60-90 training with input from department director
- Pull quarterly PTO reports and provide to Leadership Team
- Monitor timesheets and project categories (keep updated per the person’s role and our tracking needs)
- Offboarding: Create exit documents and implement process to offboard employees when they end employment
Technology and Data
- Set up new computers with SharePoint, Microsoft products, printer software, Sumac, etc.
- When someone leaves, move data, clean up files, reset laptop for the next person
- Check computers two times per year with Computer Health Checklist
- Helpdesk: people come to you with issues for SharePoint, Microsoft, not running correctly, etc. This is for basic issues only.
- Monitor AI Policy and look for solutions for AI to improve efficiencies or quality of work
- Sumac (CRM) administration: update back-end, review updates to see how it impacts us, review for efficiencies, monitor capacity, understand our audit process, suggest new audits as needed, pull and audit sponsor entries
- Cybersecurity: continually learn and train staff, create and maintain cyber security plan
- Manage Zoho: determine what other passwords need to be in it, add/delete staff, train new staff to use it
- Manage technology inventory: equipment and software (desktop and cloud-based)
- Support Planner uploads (back-up), train others, and stay up to date on updates to the process
- Centralize data pulls and cleaning for information from our CRM that staff need to utilize and for information that needs to go into our CRM.
Office Management
- Key card setup, mobile app installation, online system
- Report issues to landlord: leaks, HVAC, cleaning, etc.
- Handle office issues: appliances, furniture, Comcast, DTE, etc.
- Implement office emergency plan
- Update annual office logistics plan
Financials
- Audit/review ACH payments
- QuickBooks: back up on entries if bookkeeper is on leave or ends employment

Education:
- Completion of a bachelor’s degree
Experience:
- Managing a direct report
- Using and/or managing a CRM
- At least 5 years of experience in all or most of the responsibilities listed for this role (for-profit or non-profit)
- High level of skill in Microsoft Word, Excel (sums, sort, filter), PowerPoint, MS Planner, MS Forms, and SharePoint
